FaxTalk Merge Macro Setup

The FaxTalk Merge Macro Setup dialog box allows you to configure settings that will be used when you send a fax, or send a fax merge. This dialog box also contains links for additional Help and program version information.

In the FaxTalk Merge Macro Setup dialog, you can configure resolution settings, how styles are handled, automatic printing and fax number dialing conversion.

To configure the FaxTalk Merge Macro options,

In Word 2002/XP/2003:

1.   Click the Tools menu.

The FaxTalk Merge Setup dialog appears. In this dialog, you can configure specific options for the merge macro when faxing from Microsoft Word. 5 different tabs will appear in this dialog

Fax current document Tab

. These options apply to sending a fax, and do not apply to a fax merge.

Always send the current document using fine resolution

Enable this option to always send faxes using the highest resolution available to FaxTalk. Fine (or High) resolution is 200 x 200 dots per inch. If you disable this option, faxes will be transmitted using Standard (or Low) resolution at 200 x 100 dots per inch.

NOTE: Disable this setting when you want to transmit your faxes at a higher speed and don't require high quality resolution. This setting does not apply to sending of attachments via e-mail.

Always display the send screen when FaxTalk styles are found

You can use styles to automatically retrieve the name, fax number and other details from a document via the use of Word styles. This option allows the send dialog box to appear allowing you to add additional information to the fax. When this option is disabled, and styles are used, the fax is immediately sent without any additional user interaction. This option is only applicable when there are FaxTalk specific styles defined in your Word document. For more information on defining Word Styles please see the section using the FaxTalk “Wfx” Styles.

NOTE: This option is specific to Send a Fax (Fax Current document) only. It does not apply when sending a FaxTalk Fax Merge.


Always print a copy of the current document after sending

This option allows you to print a copy of the current document to your printer immediately at the same time it is faxed.  Choose the option Prompt before printing for the printer dialog box to appear prior to printing your document. Select from the drop-down list the printer your document will be printed to.

These options apply to sending a fax merge.

Always use Fine resolution when sending a fax merge

Do not display blank lines from database fields when merging

Enable this option when you want the merge to ignore fields that contain blank lines.  This can be used when you want to remove blank lines from the merged document if no information is available for that line. This is the default setting.

For example, you may have an address field on your merge document that contains additional information such as an apartment or suite number.  Some of these fields may not be applicable for all recipients, so instead of a blank line appearing in your merged document, these fields are removed when they do not contain data.


Dialing Tab

These options apply to both sending a fax, and the fax merge.You can select only one of the two options here. These options are both unchecked by default.

Convert the fax number to 1 (XXX) XXX-XXXX ...

You can configure the FaxTalk macro to automatically detect the country code, area code and local 7 digit number when dialing. This option is useful if your data may or may not contain the country code. For example, a fax number entered as 7165551212 would be dialed at 1 (716) 555-1212. A fax number entered as 413-555-1212 would be dialed as 1 (413) 555-1212.

If FaxTalk is configured to use Windows dialing mode, it will use the appropriate dialing rules and add or discard any long distance or area code requirements. This option is available to both the Send a Fax and Send a Fax Merge options.

NOTE: This feature is designed for North American phone numbers only. Fax numbers that are detected as North America will appear in the FaxTalk outbox in the following format  1 (XXX) XXX-XXXX. The 1 and area code will be dialed depending on your current location and dialing settings. If a number cannot be determined as North American, no conversion of the fax number is performed.



Use Canonical dialing format for all fax numbers

Canonical format is a standard method of displaying a telephone number. A number will contain a country code (with a + in front of the country code), a regional/area code (enclosed in parenthesis), and a subscriber number (that may be separated by hyphens). The subscriber number is the local number that is unique, while the regional/area code and country code is shared by many subscribers.

If your database contains fax numbers in canonical dialing format, select this option.  This option will determine country code, area code/regional code and local fax number if your fax number contains a space between the area code/regional code and local fax number. If the number does not meet these requirements, no conversion of the fax number is performed.


Some examples of Canonical dialing format:

North American Example: +1 (707) 555-1212   where +1 is the country code (US/Canada), 707 is the area code and 555-1212 is the local number/subscriber number

European Example: +44 (02) 1234-1234 where +44 is the country code (UK), 02 is the area code, 1234-1234 is the local number/subscriber number.

NOTE: Numbers can also appear without the + in front of the country code, with or without parenthesis or hyphens. Example: 44 02 12341234 and 1 707 5551212


Dial as entered format (uncheck both options)

If you uncheck both of the above options, the FaxTalk Merge Macro will not do any conversion of the fax number, and it will be passed to FaxTalk unchanged. This is the default setting.


Current Dialing Method

This drop-down will display the current dialing method selected in FaxTalk.  This option cannot be changed here, and is shown for reference only. See the FaxTalk manual for more information on configuring dialing rules.  The FaxTalk Merge Macro does not handle any dialing rules, and this must be configured in FaxTalk and Windows. See FaxTalk Settings option below.


FaxTalk Settings

Click this button to open the FaxTalk settings dialog box. Here you can view the current dialing settings.  Click Dialing in the left window to view the dialing properties configured in FaxTalk.  For optimum dialing setup, we recommend you dial numbers using "Windows dialing properties". You can configure specific dialing rules by clicking on the Dialing Properties button. See the FaxTalk manual for more information on other dialing methods.
