How to rebuild or repair logs and phonebooks in WinFax PRO 10

NOTE: The following steps are a way to manually rebuild the phonebook and logs database files in the event of corruption. These steps do not fix all problems, but may fix the most common database errors that prevent WinFax PRO from functioning properly. We recommend using WinFax Tools instead of these manual steps as we’ve added some additional safety measures to prevent corruption and or accidental deletion of data. So many times we’ve had customers not following the proper steps, not shutting down all applications or the WinFax Service before attempting a manual rebuild of data. There are many third-party applications that link (ACT!, Outlook, Maximizer etc) and take hold of WinFax data files, and sometimes performing a rebuild while another application is actively using a WinFax file could damage WinFax specific files, causing databases to fail completely.

    Situation:
This document explains how to rebuild or repair a WinFax PRO 10.x log or phonebook.

    Solution:
If the WinFax Message Manager opens, then rebuild the log and phonebook files. If the manager does not open, then manually rebuild the logs.

To rebuild the Log and Phonebook files

If you are running Windows NT, Windows 2000 or Windows XP, stop the WinFax PRO service.
In the WinFax PRO Message Manager, click the Tools menu, and then click Maintenance Utility.
If you cannot launch the Message Manager, or you experience errors while launching the Message Manager, follow the instructions on manually rebuilding the logs and phonebook files.
    Click Launch Application or Applet.
Select Rebuild Phonebook/Logs, and then click OK.
Find the Data folder. By default it is in the C:Program FilesSymantecWinFax folder.
Select the .wfb file, and click Open to start the repair process.
    Click Close.
Repeat steps 4-6 for all other .wfb files. (These are the phonebook and log files.)
When all .wfb files have been rebuilt, click Close on the SymDiag window.
At the prompt that asks whether you want to restart the Message Manager, click Yes. The Message Manager restarts.

If you continue experiencing difficulties, select Optimize Phonebooks/Logs instead of Rebuild Phonebooks/Logs in step 3.

To manually rebuild the Log and Phonebook files
    Exit all open programs.
If you are running Windows NT, Windows 2000 or Windows XP, stop the WinFax PRO service.
Click Start, point to Find, and click Files or Folders. The Find dialog box appears.
From the Look In drop-down list, select the drive to which you installed WinFax PRO.
In the Named field, type rebuild.bat and click Find Now. Windows displays all files matching the search criteria.
Double-click the Rebuild.bat file. A dialog box appears, prompting you to select a database to rebuild.
Locate the Data folder. By default it is in the C:Program FilesSymantecWinFax folder.
Select the .wfb file, and click Open to start the repair process.
    Click Close.
Repeat this process for all other .wfb files. These are the phonebook and log files.
When all .wfb files have been rebuilt, close the Find window.

If you continue experiencing difficulties, find and run Optimize.bat instead of Rebuild.bat.

Bummer. I tried this. The screen asks if I want to stop Winfax. I click yes but it apparently doesn’t work. The cmd rebuild window freezes. Can’t even type exit into it. So, what next?

reboot , then manually shut down winfax/controller/service if running first, then run the rebuild utility

WinFax Tools fixes many of the problems encounted when manually running the rebuild or optimize tools.
Download WinFax Tools, click on Logs & Phonebooks, then click on Rebuild Logs & Phonebooks.

For default logs, choose the “Status.wfb” file.
For default phonebooks, choose the “my-ph-bk.wfb” file.

We recommend you use WinFax Tools to perform the rebuild. Click Logs & Phonebooks button, then Rebuild Logs & Phonebooks button

I do not have access to the internet in the office where the WinFax is installed (I found this is required when trying to use WinFax Toos). Can you please advise if the WInFax Program SysDiag window does the same thing as the WinFax Tools or will I be missing out on something. I can bring the computers to a location that has internet access but they have WIN2K installed which would be velnerable (immediately) once connected to the internet.

Also do you recommed this should be done as a preventative maintainance? Once a week or once a month? Our database is important to us and we have had corruptions in the past but it has been about one year since the last corruption. The SysDiag window did work but we had to reorder all the folders as our folder tree (custom) was lost in the process.

    Thank you for your help.

the actual rebuild process is the same, but WinFax Tools does many pre-checks prior to the rebuild process.

You should have always have a backup of the data if the data is important. The rebuild should only be done when required, but performing it once a month or so isn’t a problem if you have backup.
