    The status files you mention are your send/receive and outbox log entries. We can assume these database files are ok since it is the default phone book files that are generating the error message within WinFax PRO.

    If you can email a copy of the MY-PH-BK files (all 12 files) to us at faxsupport (at) getfaxing.com and we’ll try to recover the files for you. Unfortunately, there is no guarantee that we can recover the phone book. If you know how many phone book contacts should be within the file (estimate if you are not sure), also include this in your email.

    Do you have previous WinFax phone book data that you require to be recovered? It appears you are describing is a corrupt phone book that cannot be repaired automatically. In some cases it may be able to be recover the phone book there is a good chance that it cannot if the main database file (that contains the actual data) is missing.

    The first thing you should do is use WinFax Tools and click on the “WinFax Info” to determine your WinFax data location. Usually, this is c:program fileswinfaxdata or c:program filessymantecwinfaxdata. —> In your case, it should be “C:Program FilesWinFaxData”

    Once you’ve determined this location, go to this folder and look for files that have the name “MY-PH-BK”. These files are your “default” phonebook that is named “My Phonebook” in WinFax.
    make sure you sort the view alphabetically so you group the my-ph-bks files together.

    here is an example of files you should see (sizes and dates will not match) :

    review the files above, do you also have 12 files? do you have less? If less, what files are missing?

    AFAIK, the default is “All”.
    It is the first option. If it doesn’t default here, perhaps you have a setting defined for your specific printer to only print a range of pages.

    Does Outlook crash when you exit?
    if so you need to remove the winfax logs addin from Outlook 2007

    1. Open the Control Panel.
    2. Double-click the Mail icon. (If the MAIL icon does not appear, try switching to CLASSIC VIEW)
    3. Click on the Data Files button.
    4. Select “WinFax Logs” from the list and click “Remove”. (If you are using Outlook 2007 you will need to click on the Data Files tab first.)
    5. Verify you clicked ”WinFax Logs” and then click “Yes” to confirm removal of the “WinFax Log” data-file. (WARNING: Be sure you only select and remove the WinFax Logs folder)

    The recommended and 1st suggestion would be to run a rebuild on the default send/receive log and hope that allows you to delete them.

    If you’ve done this and they still don’t delete, the next set of steps would require you to reset your default send/receive logs (which is just deleting your entire default database log files so WinFax recreates new, empty logs). If you want to do that, you have to “move” any faxes you want to keep to another message store or delete them in WinFax. Then , you have to delete a set of database files in the WinFaxData folder. This is not an easy process especially if you have a lot of faxes in the default logs (something you should avoid). You also have to make sure you have applied the “Move/Copy” patch from WinFax Tools or you’ll likely run into the WinFax bug when attempting to moving a log entry to a different message store folder (this serious bug can cause you to lose fax images).

    In summary , If you have a lot of faxes in your default send / receive logs it will be a lot of work just to remove a dozen stuck entries from your wastebasket.

    How to copy the default phonebook (My Phonebook) to another computer

    Situation:
    You want to know how to copy the WinFax PRO default phonebook, My Phonebook, to a different computer.

    Solution:
    To copy the My Phonebook phonebook to another computer, follow these steps:

    NOTES:
    These instructions are for copying the default phonebook named My Phonebook only. If you need to import another WinFax PRO phonebook, please see the document How to import phonebooks. WinFax PRO must be installed in exactly the same location on both computers.

    WARNING: !!!!!! You will lose all information in the default phonebook on the target computer as existing files are overwritten, not merged. !!!!!!

    Exit all open programs and stop the WinFax PRO service if you are running Windows XP or Windows 2000/NT on both computers. (You can use WinFax Tools and use WinFax Services option to Stop Service and End All WinFax Tasks.)
    Click Start, point to Find, and click Files or Folders. The Find dialog box appears.
    From the Look In drop-down list, select the drive onto which you installed WinFax PRO/TalkWorks PRO.
    Check Include subfolders (if not already checked).
    In the Named field, type my-ph-bk*.* and click Find Now. Windows displays all files matching the search criteria. (There should be at least 12 files.)
    Transfer these files using a floppy disk, USB flash drive, or through a network connection to the second computer
    Place the files in the WinFax …Data folder on the second computer, (for example: c:program filessymantecwinfaxdata).

    I was referring “manual backup” as by manual copy of the data files using (file , copy) in Windows. To do this, just close WinFax PRO and then make a copy of the folder somewhere. You can also use Windows Backup or other software to backup specific folders on your system automatically on a schedule. Just include the WinFax folder and sub-folders in the backup process.

    the actual rebuild process is the same, but WinFax Tools does many pre-checks prior to the rebuild process.

    You should have always have a backup of the data if the data is important. The rebuild should only be done when required, but performing it once a month or so isn’t a problem if you have backup.

    the Check Send/Rec Limits doesn’t do anything but report back the percentage used of the default message store. Did you wait long enough for WinFax to open? and deleted old faxes to fix the problem? Sometimes doing this is not easy because WinFax doesn’t open (or stays at Not Responding for a long time)

    yes, the Winfax Backup tool that saves your files at a WFA archive file is not reliable when there are many files in the default message store.
    manual backup of the entire winfax folder and sub-folders where all the data is stored can be done instead.

    Outlook 2007 contacts do not appear in WinFax because it is not compatible with WinFax. The last version compatible is Outlook 2003.

    If you’re trying to “import” contacts from Outlook 2007, you first have to export the contacts from within Outlook 2007 to a CSV (Comma Separated Values) file. You can then perform an import in WinFax to a phonebook using the CSV file. This will allow you to access the Outlook contacts as a native WinFax phonebook. The only problem with this method is if you update your Outlook 2007 contact list, they don’t get updated in WinFax until you repeat the whole export/import process.

    1. Make sure you have a backup of all your WinFax data .
    2. Start WinFax Tools and click “Logs & Phonebooks” button, then click “Check Send/Rec Limits” button. It should report the total percentage and total amount of storage available in the default message store. If you are near, or over 50% then this is likely the problem of too many faxes in your default send/receive log.

    these are both the default options when you install WinFax. If you don’ t have them, they were not installed or removed.
    There is a macro installer option in WinFax .
